Termwise provides translation, revision, terminology, localisation and multilingual content services for professional, institutional and business clients. Our work may involve confidential documents, personal data, legal or medical information, business communication and regulated or terminology-sensitive content.
The terms below are intended to give clients a clear understanding of our working principles, data-handling practices, confidentiality safeguards and correction policy. Project-specific terms may also be agreed separately in writing.
Note: this page provides general service terms and website information. It does not replace a separately signed contract, non-disclosure agreement or legally reviewed data-processing agreement where one is required.
General Terms of Use
These general terms apply to the use of this website and to enquiries, quotations and services provided by Termwise, unless different terms are agreed in writing.
Quotes and Project Scope
Quotations are based on the information provided by the client, including source files, language combination, subject matter, intended use, deadline, formatting requirements and any applicable style guides or terminology resources.
Client Responsibilities
Clients are responsible for providing complete source materials, relevant reference files, terminology instructions, formatting requirements and any project-specific guidance needed to perform the work correctly.
Delivery and Review
Delivery times are agreed per project. After delivery, clients are encouraged to review the work and notify Termwise promptly if any correction, clarification or terminology adjustment is required.
Use of Delivered Work
Delivered translations or revised texts should be used for the purpose agreed at the start of the project. If the content will be used for a different purpose, publication channel or legal context, additional review may be required.
Data Protection
When you contact Termwise through the website, by email or by WhatsApp, we may collect the information needed to respond to your enquiry, prepare a quotation or provide the requested service.
This may include your name, email address, telephone number, company name, message content, uploaded or attached files, project details and any information included in the documents you choose to send us.
Purpose of Collection
We use enquiry and project data to respond to requests, assess files, prepare quotes, communicate about projects, deliver services, issue invoices and maintain appropriate project records.
Limited Access
Access to client files and enquiry data is limited to the people or trusted service providers who need access for the relevant project or operational purpose.
Retention
Project records may be retained where necessary for client service, quality control, accounting, legal obligations or future terminology consistency. Clients may contact us to request deletion where retention is no longer required.
Third-Party Services
We may use professional email, hosting, backup, security, accounting, CAT-tool or productivity services. Where such tools are used, we aim to select reputable providers and apply appropriate access and security controls.
1 Year Warranty Guarantee
Termwise supports delivered translations and revised texts with a one-year correction promise. If a delivered translation contains an error attributable to our work, we will correct it without additional translation charges.
This promise is intended to give clients practical confidence in the quality and accountability of our work. It applies to corrections of the delivered text, not to new source content, changed instructions, later client edits or a different intended use.
What Is Covered
Corrections of mistranslations, omissions, terminology inconsistencies or language errors in the delivered translation, where the issue relates to the agreed source text and project instructions.
What Is Not Covered
New source text, later changes to the source document, new client preferences, changes in style instructions, legal updates, formatting work outside the original scope or rewriting for a new purpose.
How to Request a Correction
Send us the delivered file, the relevant source segment and a clear description of the issue. We will review the point and provide a correction or explanation.
Professional Resolution
Where there are several acceptable translation choices, we will assess the issue based on meaning, terminology, intended use, client instructions and target-language suitability.
Confidentiality Agreement
Termwise treats client documents, project instructions, terminology resources, business information and personal data as confidential. We do not disclose client materials to unauthorised parties and we use them only for the purpose of assessing, quoting, translating, revising, reviewing or managing the relevant project.
Confidentiality is supported through practical technical and organisational safeguards, including controlled access, updated software, secure working practices and encrypted storage where appropriate.
Confidential Client Materials
Source files, translations, reference documents, glossaries, translation memories, project instructions, personal data and business information are handled as confidential project materials.
Controlled Access
Access to client materials is limited to authorised people involved in the project, such as translators, revisers, terminology specialists or project support where needed.
Secure Working Environment
We use updated software, password-protected systems, professional security practices and encrypted drives or encrypted storage for sensitive working files where appropriate.
No Unauthorised AI Disclosure
Client files are not intentionally submitted to public AI systems for training or uncontrolled processing. If AI, MT or external tools are relevant to a project, this can be discussed and agreed before use.
Non-Disclosure Agreements
Where required, Termwise can work under a separate NDA or client confidentiality agreement, subject to review and acceptance of the proposed terms.
File Retention and Deletion
Client files may be retained for quality, terminology, accounting or continuity purposes where appropriate. On request, files can be deleted where there is no legal, accounting or operational reason to retain them.
